Coach TM Rebate Policy

Coach & Team Manager Rebate Policy – KUSC

Purpose

This policy outlines the rebate structure for parent/guardian Coaches, Assistant Coaches, and Team Managers at Knox United Soccer Club (KUSC). It establishes clear conditions to ensure accountability, commitment, and fairness across all volunteer roles.

Eligibility

This rebate policy applies to parent/guardian volunteers only.

The following volunteer roles are eligible for registration fee rebates:

  • Head Coach (Parent/Guardian) – 50% rebate
  • Team Manager (Parent/Guardian) – 50% rebate
  • Assistant Coach (Parent/Guardian) – 40% rebate

Non-parent coaches are not eligible for this rebate.

All roles must be officially appointed by the Club, registered in Play Football, hold a valid Working With Children Check (WWCC), and actively perform their role for the full season.

Rebate Calculation

The rebate applies to one child's registration fee per eligible parent/guardian volunteer. Where a volunteer has multiple children registered, the rebate is calculated based on the lowest (youngest child's) registration fee.

  • Only one rebate per volunteer role applies — no stacking of roles unless approved by the Committee in exceptional circumstances.

Rebate Timing & Application

Rebates are not applied upfront.

Applied as a credit — All eligible rebates are credited toward the following season's registration fees. This ensures volunteers fulfil their responsibilities across the entire season and protects the Club from misuse.

Early Exit / Non-Performance

The Club reserves the right to withhold or reduce any rebate where a volunteer:

  • Does not fulfil their role for the full season
  • Withdraws or resigns without reasonable cause
  • Fails to meet minimum role expectations
  • Breaches Club policies, Code of Conduct, or safeguarding requirements
All determinations will be made at the discretion of the Committee.

Non-Returning Volunteers

Where a volunteer does not return the following season but has satisfactorily fulfilled their role, they may request a rebate payment (refund) in lieu of credit. This is subject to Committee approval and assessed on a case-by-case basis.

Expectations of Role

To remain eligible for the rebate, all Coaches and Team Managers are expected to:

  • Attend and fulfil training and match day responsibilities
  • Communicate effectively with players, families, and the Club
  • Support a positive and inclusive team environment
  • Adhere to all Club policies, including safeguarding and behaviour standards

Club Discretion

The Club reserves the right to amend, withhold, or revoke rebates where deemed appropriate. Any exceptions to this policy must be approved by the Committee.

Policy Review

This policy will be reviewed annually to ensure it remains fair, sustainable, and aligned with Club objectives.
